REVIEW & RATINGS POLICY
This Policy governs all patient reviews and ratings on the WeGotDocs Platform. It is incorporated into the Terms and Conditions and, for providers, the MSA. WeGotDocs hosts reviews as a neutral interactive computer service under 47 U.S.C. § 230; reviews are the statements of the patients who write them, not of WeGotDocs.
1. WHO MAY REVIEW — VERIFIED BOOKINGS ONLY
Only patients who submitted a booking request to a provider through the Platform may review that provider, and only after the requested appointment date has passed. Each booking permits one review, which the patient may edit or delete. This verification confirms only that a booking request was made through the Platform; it does not mean WeGotDocs verified that the appointment occurred or that the review's contents are accurate.
2. REVIEW CONTENT STANDARDS
Reviews must reflect the reviewer's genuine, first-hand experience. Reviews must NOT contain:
- False or fabricated statements, or reviews of visits that did not occur.
- Reviews written in exchange for payment, discounts, or other incentives, or by the provider, their staff, family, competitors, or anyone with a conflict of interest.
- Hate speech, threats, harassment, or profanity directed at any person.
- Another person's private information — including any other patient's health information, names of provider staff accused of wrongdoing without basis, or anyone's contact details.
- Allegations of crimes, malpractice findings, or license actions stated as fact unless a matter of public record the reviewer cites.
- Content unrelated to the patient experience (politics, spam, advertising, links).
- Medical advice to other patients.
3. HOW RATINGS AND RANKINGS WORK — TRANSPARENCY
- Star ratings are the unweighted arithmetic mean of all published patient ratings for a provider, displayed with the count of ratings.
- Search result order is determined by neutral relevance criteria: specialty match to the search, geographic proximity, appointment availability, and profile completeness. PROVIDERS CANNOT PAY TO IMPROVE THEIR RATING OR THEIR RANKING. Subscription status does not affect star ratings.
- WeGotDocs does not author ratings, does not selectively suppress negative reviews that comply with this Policy, and does not display "badges" or "awards" that imply WeGotDocs's clinical endorsement of any provider.
- In accordance with the federal Consumer Review Fairness Act, providers may not use form contracts to bar or penalize patient reviews, and WeGotDocs will not enforce any such restriction.
4. FAKE REVIEW PROHIBITION AND ENFORCEMENT (FTC RULE COMPLIANCE)
Consistent with the FTC's Rule on the Use of Consumer Reviews and Testimonials (16 C.F.R. Part 465), the following are strictly prohibited and will result in content removal and account action up to termination and referral to authorities:
- Creating, purchasing, or soliciting fake or AI-fabricated reviews, whether positive or negative.
- Review suppression: providers demanding removal of truthful negative reviews, or conditioning care, refunds, or anything of value on review removal or favorable reviews.
- Incentivized reviews expressing a required sentiment.
- Insider reviews by a provider's officers, employees, or relatives without clear disclosure.
- Compensated review manipulation services.
WeGotDocs employs automated and manual fraud detection (booking-verification matching, device and pattern analysis) and investigates reports at reviews@wegotdocs.com. WeGotDocs may remove content, suspend accounts, void ratings, and cooperate with the FTC and state attorneys general. These measures are voluntary integrity efforts and do not create a duty to detect or remove any particular content, nor a warranty that all published reviews are genuine.
5. PROVIDER RESPONSES — MANDATORY HIPAA GUIDELINES
Providers may publicly respond to reviews ONLY in compliance with the following. THIS IS A HIPAA COMPLIANCE REQUIREMENT, NOT A SUGGESTION:
- NEVER confirm or deny that the reviewer is or was your patient. Even "thank you for visiting our office" is a disclosure.
- NEVER reference any appointment, visit, diagnosis, treatment, billing matter, or communication with the reviewer.
- Safe response pattern: speak only in general terms about your practice's policies — for example: "Our practice strives to provide every individual a positive experience. Privacy laws prevent us from discussing any specific individual's care. Anyone with concerns is welcome to contact our office directly at [phone]."
- Take it offline: invite direct contact rather than debating publicly.
- PROVIDER, NOT WEGOTDOCS, IS SOLELY RESPONSIBLE for any HIPAA violation arising from a response, and indemnifies WeGotDocs under the MSA for resulting claims, fines, and losses. WeGotDocs may remove any response that appears to disclose PHI, without notice and without liability, but has no duty to screen responses.
6. DISPUTED REVIEWS — RESOLUTION PROCESS
A provider who believes a review violates this Policy may submit a dispute at reviews@wegotdocs.com identifying the review and the specific provision violated, with any supporting evidence that does not itself disclose PHI.
- Step 1 — Intake (5 business days): WeGotDocs confirms receipt and checks booking verification and fraud signals.
- Step 2 — Assessment: WeGotDocs evaluates the review against this Policy only. WEGOTDOCS DOES NOT ADJUDICATE TRUTH. A negative review is not removable merely because the provider disputes the patient's account; removal requires a Policy violation (e.g., no verified booking, prohibited content, demonstrated fraud).
- Step 3 — Outcome (typically within 15 business days): the review is retained, removed, or temporarily suppressed pending further investigation. The reviewer may be invited to revise content that violates the Policy.
- Defamation claims: WeGotDocs is immune from defamation liability for user reviews under 47 U.S.C. § 230 and does not remove reviews based solely on demand letters. Providers asserting defamation must pursue the reviewer directly; upon receipt of a valid court order finding specific content defamatory, WeGotDocs will remove that content.
7. PATIENT PRIVACY IN REVIEWS
Patients control what they post. Reviews are public; patients are cautioned (in the Patient Disclosure) not to include health details they wish to keep private. Reviews display first name and last initial only. A patient may delete their own review at any time; deletion removes it from public display and from the rating average.
8. MODIFICATIONS
WeGotDocs may update this Policy prospectively with notice. Continued posting or maintenance of reviews after the effective date constitutes acceptance.
